    Who We Are

Creative Beginnings Early Learning & Care is a long-standing, respected, non-profit organization serving children, families, and educators across Waterloo Region. Our work is grounded in care-centred pedagogy, ethical leadership, and strong relationships.

We are in a period of exciting and intentional growth — expanding programs, opening new spaces, and strengthening systems — while remaining deeply committed to quality, care, and community.

    The Role

The Executive Assistant (EA) works in close partnership with the Chief Executive Officer, providing high-level executive, administrative, and operational support. This is a trusted and integral role that supports leadership work impacting staff, families, governance, and the future of the organization.

This is not a traditional “task-only” administrative role. It is a position for someone who is thoughtful, proactive, highly organized, and able to anticipate needs while managing multiple priorities with care and professionalism.

    What You’ll Do

    Executive & Administrative Support

    • Provide comprehensive, high-level administrative support to the CEO

    • Manage a complex calendar, schedule meetings, and coordinate priorities

    • Prepare agendas, briefing materials, reports, presentations, and correspondence

    • Handle confidential information with discretion and sound judgment

    Governance & Leadership Support

    • Support Board of Directors and committee work, including meeting coordination and document preparation

    • Track action items, deadlines, and key governance priorities

    • Assist with executive planning and organizational accountability processes

    Project & Operations Coordination

    • Support special projects, organizational initiatives, and expansion-related work

    • Track timelines, deliverables, and milestones across multiple priorities

    • Coordinate with internal leaders, consultants, and external partners

    Communication & Relationship Support

    • Serve as a professional, welcoming point of contact for internal and external stakeholders

    • Support clear, thoughtful communication aligned with organizational values

    • Help ensure smooth information flow across leadership and operational teams

    What We’re Looking For

You bring both formal preparation and real-world experience to this role. You are someone who:

    • Holds a recognized Executive Assistant / Executive Office Administration diploma and/or has demonstrated experience supporting senior leadership or executives

    • Has experience managing complex calendars, competing priorities, and confidential information

    • Is highly organized, detail-oriented, and dependable

    • Thrives in a fast-paced environment while remaining calm and grounded

    • Anticipates needs and takes initiative

    • Communicates clearly, professionally, and with warmth

    • Values discretion, trust, and professionalism

Experience in a non-profit, education, or community-based organization and experience supporting Boards of Directors are strong assets.

    What We Offer

    • A full-time, stable position in a growing, mission-driven organization

    • Competitive compensation aligned with experience and qualifications

    • Health benefits, paid time off, and wellness supports

    • A collaborative, respectful workplace rooted in care and professionalism

    • The opportunity to be part of meaningful organizational growth and community impact

    • Leadership that values trust, transparency, and doing the right thing

    How to Apply

Please submit your résumé and a brief cover letter sharing your relevant education and/or executive-level experience, and why this role — and Creative Beginnings — speaks to you.

We thank all applicants for their interest. Only those selected for an interview will be contacted.
